J9 Systems, LLC — Privacy Policy

Thank you for visiting the online and mobile resources operated by J9 Systems, LLC (“J9 Systems,” “we,” “us,” or “our”). We design and implement business systems and provide related consulting and support. This Privacy Policy explains what we collect, how we use and share it, and the choices you have.

Scope

This Policy applies to our websites and other internet features we operate (the “Sites”) and to our professional services and support (the “Services”). It does not apply to third-party websites, apps, or platforms that are operated by others, even if we link to them or integrate with them; those parties have their own privacy terms.

Who we are / Contact

Controller. For Site visitors, prospects, and J9 Systems’ own business contacts, J9 Systems, LLC is the data controller.

Processor / Service Provider. For data we handle on behalf of clients within their systems as part of the Services, we act as a processor/service provider and process such data only on client instructions.

Key definitions

“Personal Information” means information that identifies or can reasonably be linked to an individual. Definitions may vary by law (e.g., U.S. state privacy laws, GDPR, UK-GDPR).

“Customer Data” means data we process on behalf of a client within their chosen systems as part of the Services.

“Service Data” means data we collect as controller about Site visitors, prospects, and our own business contacts.

What we collect & sources

A) You provide it voluntarily

• Contact & account data: name, email, phone, company, role, preferences.
• Lead form data: information you submit in our web forms or similar tools.
• Scheduling & communications: meeting details and content you send to us (including emails and attachments).
• Billing: limited payment details processed by payment providers; we do not store full card numbers.

B) Collected automatically

We may collect device and usage information (such as IP address, device type, browser, operating system, referring/exit pages, timestamps, and pages viewed) and use cookies or similar technologies to operate the Sites, remember preferences, and understand usage.

C) From third parties

• Lead sources: advertising platforms or referral partners may provide basic contact details where legally permitted.
• Connected services: with your permission, we may receive data from platforms you authorize so we can deliver the Services you request.

We do not intentionally collect sensitive personal information via the Sites. If the Services require processing sensitive data, we will do so only under client instruction and appropriate agreements.

How we use Personal Information (Service Data)

• Operate, secure, and improve the Sites and Services.
• Respond to inquiries; provide quotes and support; manage client accounts and billing.
• Schedule meetings and communicate about projects.
• Run analytics, measure performance, and (where permitted) send marketing communications. You can opt out at any time.
• Comply with law, prevent fraud, and protect rights and users.

For visitors in the EEA/UK, our legal bases may include performance of a contract, legitimate interests, consent (where required), and compliance with legal obligations.

Our role as processor / service provider (Customer Data)

When clients engage us to provide Services, we process Customer Data only in accordance with the client’s documented instructions, our agreement (including any applicable data processing addendum), and applicable law. We do not use Customer Data for our own advertising or to build profiles unrelated to the client’s instructions. Clients are responsible for providing any required notices and obtaining necessary permissions from their end users. We may use vetted subprocessors to help provide the Services and require appropriate confidentiality and security commitments. Upon contract end, we delete or return Customer Data in our possession within a commercially reasonable time, unless retention is required by law or agreed otherwise.

Cookies, analytics, and ads

We may use analytics and advertising technologies (cookies, pixels, tags, SDKs) to understand usage and measure/serve ads. You can manage preferences via your browser settings, applicable consent tools on our Sites (where available), or by contacting us.

Your choices & rights

You can unsubscribe from marketing emails via the link in those emails or by contacting us. For SMS (if offered), you will receive texts only with your explicit opt-in consent; you can opt out by replying STOP.

Depending on your location (e.g., certain U.S. states, EEA/UK), you may have rights to request access, correction, deletion, portability, and to opt out of certain processing (such as targeted advertising). Authorized agents may submit requests where permitted.

Data retention

We retain Service Data for as long as needed to fulfill the purposes described in this Policy and to comply with legal obligations, resolve disputes, and enforce agreements. Customer Data retention is governed by our client agreements and instructions.

Security

We maintain administrative, technical, and physical safeguards designed to protect personal information appropriate to the risk. No method of transmission or storage is 100% secure; if we believe a security incident has affected personal information, we will notify affected parties and/or regulators as required by law and our contracts.

International transfers

We are U.S.-based and may process information in the United States and other countries where our vendors operate. Where required, we use appropriate mechanisms for cross-border transfers.

Children’s privacy

Our Sites and Services are intended for business users and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact hello@j9systems.com and we will take appropriate action.

Changes to this Policy

We may update this Policy from time to time. The “Last updated” date indicates the most recent revision. Material changes will be posted on the Sites and, where required, we will notify you and/or seek consent.
